How to use it
- Add your business details Name, phone, email, and address go in the header. This is what makes an invoice look professional instead of homemade.
- Fill in the client Use the name the client pays under — for commercial work that is the company, not the person who called you.
- Number the invoice Keep a running sequence like INV-1001, INV-1002. Skipping numbers makes reconciliation and tax time harder than it needs to be.
- List the work One line per task, part, or trip. Vague invoices get questioned; itemized ones get paid.
- Set the dates Invoice date is when you send it, due date is when you expect the money. Net 14 gets paid faster than net 30 on residential work.
- Add tax and discounts Enter the rate that applies where the job was done. The template does the math and shows the client exactly what was applied.
- Write the terms State the payment window and any late fee up front. It is much easier to enforce something the client already saw.

Questions about the invoice template
What has to be on an invoice?
Your business name and contact details, the client, a unique invoice number, the date, an itemized list of the work, the total owed, and payment terms. Anything beyond that is optional; anything less makes the invoice easy to dispute or delay.
Do I need to charge sales tax on service work?
It depends on your state and what you sold. Many states tax parts and materials but not labor, and some tax both. Enter the rate that applies to the job — the template applies it to the subtotal and shows it as its own line.
How do I number invoices?
Run a simple sequence, for example INV-1001 upward, and never reuse a number. If you work for several companies, prefix per company rather than restarting the count.
How fast should I invoice after the job?
The same day. Invoices sent within 24 hours get paid noticeably faster than ones sent at the end of the month, because the work is still fresh for the client.
